Position Overview:
The Executive Assistant will serve as the primary point of coordination for the owners across the organization’s construction and real estate businesses. The role requires a highly organized, proactive, and trustworthy individual capable of managing both business and personal responsibilities on behalf of the owners — including office operations, vendor coordination, financial tracking, travel planning, and calendar management. This position demands discretion, initiative, and the ability to anticipate needs while maintaining strict confidentiality across all matters.
Qualifications:
- Any Graduate from a recognized institution
- 4–10 years of relevant experience in an executive assistant, personal assistant, or coordination role
- Strong understanding of office administration and business coordination processes
- Proficiency in Microsoft Office, Google Workspace, and smartphone applications
Key Responsibilities:
- Act as the primary point of coordination for the owners across construction and real estate / land businesses, tracking action items and following up to keep work moving
- Coordinate with vendors, partners, and service providers, following up on deliverables, paperwork, and outstanding items on the owners’ behalf
- Manage day-to-day office operations, including supplies, utilities, service providers, and overall smooth functioning of the office
- Maintain organized digital and physical files, documents, and records across all business verticals
- Coordinate payments and reimbursements, manage credit cards, track spends and statements, monitor due dates, and reconcile expenses while flagging discrepancies
- Plan and book all travel, including flights, hotels, cabs, and itineraries for both business and personal trips, while optimizing fares, routes, and loyalty programs
- Manage the owners’ calendars, schedule meetings, and ensure they remain prepared and punctual across all business engagements
- Draft, screen, and respond to emails, calls, and messages on the owners’ behalf
- Handle personal tasks and errands for the owners as needed, including appointments, renewals, documentation, and household coordination
- Maintain strict confidentiality on all business and personal matters at all times
Skills Required:
- Strong working proficiency in Microsoft Office, Google Workspace, and smartphone applications
- Excellent organizational and multitasking abilities with sharp attention to detail
- Strong written and verbal communication skills for managing correspondence on behalf of the owners
- Demonstrated ability to manage confidential information with discretion and professionalism
Special Requirements:
- High degree of reliability, initiative, and the ability to remain calm and composed under pressure
- Someone who anticipates needs before being asked and takes complete ownership of getting things done
