Position Overview:
The Dispatch Executive will be an integral part of the Logistics Department, responsible for ensuring seamless order processing, accurate documentation, and timely dispatch coordination. This role directly supports the company’s supply chain operations by managing sales orders, generating delivery challans and invoices, and maintaining organized records. The ideal candidate is detail-oriented, systematic, and capable of managing multiple administrative and logistics tasks simultaneously within a fast-paced manufacturing environment.

Key Responsibilities:
Sales Order Processing:
- Receive, review, and verify incoming sales orders from customers and internal sales teams
- Confirm product availability, pricing accuracy, and customer credit limits prior to order processing
- Enter and process sales orders in the system with complete accuracy and due diligence
- Coordinate with relevant departments to ensure timely order fulfillment
Office Administration:
- Execute day-to-day administrative functions including data entry, filing, and systematic record maintenance
- Maintain up-to-date sales order files in both physical and digital formats
- Support the logistics team with documentation and inter-departmental coordination as required
Skills Required:
- Hands-on understanding of inventory management and stock movement processes
- Working knowledge of dispatch and delivery coordination within a warehouse or manufacturing setup
- Ability to track shipments and proactively follow up with transporters and vendors for on-time deliveries
- Experience in vendor and transporter coordination to ensure smooth outbound logistics
- Competence in supporting day-to-day warehouse operations and material movement
- Strong documentation and record-keeping skills for maintaining accurate logistics data
- Capability to handle purchase orders and invoice-related tasks with precision
- Proficiency in managing material inward and outward entries in line with company processes
Special Requirements:
DC Entry:
- Create Delivery Challans (DCs) accurately for all processed sales orders
- Ensure DCs are correctly generated, duly printed, and dispatched to the respective customers within defined timelines
- Maintain a systematic log of all DCs issued for audit and reference purposes
Invoice Printing & Verification:
- Generate and print invoices corresponding to processed sales orders
- Verify all invoice details thoroughly — including product descriptions, quantities, pricing, applicable taxes, and customer information — before dispatch
- Ensure zero discrepancy in invoicing and flag any mismatches for immediate resolution
